Thank you for supporting COSCUP, the Conference for Open Source Coders, Users, and Promoters. Whether you participate through individual sponsorship or corporate sponsorship, sponsorship partners help COSCUP remain free to attend, community co-organized, and fully staff-run. Sponsorship supports not only the venue, promotion, marketing, and documentation, but also staff accommodation, meals, attendee services, and onsite infrastructure.

If your sponsorship package includes a Booth, please note the following:

  • Setup time: Entry for setup opens after 14:00 on Friday, 08/07.
  • Teardown time: 16:00 on Sunday, 08/09.
  • Booth location: Please follow the official venue map and Sponsorship Team notice.
  • Booth setup: Please follow the Booth setup guide, power limits, and venue rules provided by COSCUP.
  • Power limit: Large electrical appliances with instantaneous power over 330 W may not be used without permission.
  • Internet: WiFi is not provided onsite. If your display, demo, registration form, raffle, or lead collection requires internet access, please prepare your own working network connection.
  • Unloading and parking: The campus parking lot is operated by an external company. Logistics and temporary unloading instructions will be provided in the pre-event email.

Setup and Teardown Notes

  • If any materials will be delivered to the venue on the event day, please notify the COSCUP sponsorship contact and the venue operations lead in advance.
  • During setup, you may use the elevator to move items. The elevator opening is approximately 51 cm wide, 74 cm high, and 50 cm deep.
  • Please take responsibility for keeping your own items safe.

Booth Operation Notes

  • During the event, please make sure someone is always present at the Booth and keep valuable items secure.
  • Please respect the rights of other Booths and attendees. Booth activities and displays must not interfere with conference operations.
  • Do not use microphones, amplification equipment, sound effects, or videos with audio at the Booth.
  • If you plan to provide food or drinks, please notify us in advance.

Venue Prohibitions

  • Large electrical appliances with instantaneous power over 330 W may not be used without permission.
  • Do not use tape to attach posters to walls. Please use stands or other display methods that do not damage the venue.
  • Do not attach any promotional materials or items to glass or walls.
  • Do not burn items or use open flames.
  • Please use venue equipment and facilities carefully. If venue property is stained, damaged, or malfunctioning, and the venue representative confirms responsibility, you will need to complete repairs or compensate according to the assessed value.

Booth Preparation Suggestions

Sponsor Booth visitors include engineers, designers, community operators, students, researchers, open source contributors, overseas communities, and corporate partners. We recommend preparing content that can be explained and interacted with quickly:

  • How your company or organization supports open source.
  • How your products, services, or job openings relate to the open source community.
  • Demos, case studies, or open source projects that can be shown onsite.
  • Chinese and English introductions, QR Codes, job descriptions, or project descriptions to help overseas visitors quickly understand your organization, products, open source participation, and possible conversation topics.
  • Business cards, stickers, flyers, souvenirs, or interactive tasks.
  • Booth staff should have a basic understanding of COSCUP, the CoC, and onsite routes.
  • If you distribute food or edible items, please label meat or vegetarian status, egg, milk, gluten, beef, pork, and lamb in both Chinese and English.

Interacting with Attendees

COSCUP attendees are usually highly interested in open source, technical practice, community collaboration, and public issues. Instead of a general exhibition sales pitch, we recommend a more open style of interaction:

  • Introduce open source projects you actually participate in or support.
  • Share engineering culture, open source governance, or technical challenges.
  • Clearly explain job openings and team work.
  • Encourage attendees to ask questions, try things, or leave contact information for follow-up.
  • If you have a survey or raffle, make the rules, personal data usage, and contact information clearly visible.

Besides taking care of your Booth, sponsorship partners are also encouraged to join other COSCUP activities:

  • Attend Sessions: understand the technologies and issues that communities care about this year.
  • Visit Community Booths: meet open source communities and potential partners.
  • BoF: communicate informally with people interested in specific topics.
  • Hacking Corner: join hands-on work, documentation, or community discussions.
  • Attendee services and professional portrait photography: experience the services provided by the conference during breaks.
